Courtesy Letter > How to Generate the Report
The Courtesy Letter is a personalized report that is meant to be sent to the patients family doctor as a professional courtesy. It includes their recommended drugs along with customizable sections: patient presentation, action plan & comments (if present). This report can also serve as a marketing piece because it lets the family doctor know of your additional vaccination & health services, specifically that you offer travel consultations. (NOTE: The defaults setup must be complete prior to booking appointments, see below for how.)
How It Works:
After you have gone over all questionnaires, the trip itinerary (if travel) and have (1) dealt with your drug recommendations on the prescription tab, the next steps are (2) personalize the Courtesy Letter tab additional sections, (3) check doctor contact info and then (4) generate the Courtesy Letter. The Courtesy Letter is usually generated at the end of the appointment.
(1) Prescription:
On the Prescription tab of an appointment is where you add all recommended drugs to the appointment and generate the prescription and consent form.
- If the patient wishes to defer or reject a recommended drug, it is important to change the status of the drug so this is recorded.
- If a prescription is required (ie: you don't have prescribing authority or a medical directive for this drug) change the status to 'Prescription Required'.
(They will appear as either dispensed, deferred, rejected or prescription required on the consent form, courtesy letter and the action plan.)
- Once you have decided with the patient which drugs are going to be dispensed, generate the prescription and consent form and sign/have signed as required.
- Dispense the drugs. (See Dispensing Drugs for more Information.)
(2) Courtesy Letter Tab - Customizable Sections:
On the Courtesy Letter tab you will find the additional sections: patient presentation, action plan & comments that can be personalized and included in the report.
- You can edit the section by clicking the edit button beside the section name. Edit and click save. This will now be saved to this patients appointment only.
- If you leave a section blank, that section will not be included in your patients report.
- You can also edit the footer if needed.
(3) Check Doctor Contact Info
There is a 'doctor' section near the top of the Courtesy Letter tab.
- If the contact information is not present, use the Doctor Lookup link to find it.
- When you find it, use the Edit link to input the information into the system. This will be saved to the patient profile for next time.
(4) Generate the Courtesy Letter
- On the Courtesy Letter tab of the appointment, make sure Professional Courtesy Letter is checked on > then hit generate.
- Then you want to hit either Print, Email or Fax.
..... If you hit Print: It opens it up so they can be sent to the printer.
..... If you hit Email: It pops open a window where it displays the patients email for verification (or you can change it if you wish to send to someone else) > then hit 'send'. The recipient will receive an email with the report attached.
..... If you hit Fax: It pops open a window where it displays the default fax cover page copy. You can edit the fax cover page copy as you wish and then hit print. It will then generate a complete fax cover page which includes your header, today's date, Attn: patients doctor name & fax number and your footer. It merges the cover page and the report into one PDF that can now be printed and faxed to your patient's doctor.

NOTE:
If you have any drugs that require a prescription you will want to edit the copy on the courtesy letter to speak to that. When you send it to the doctor you can request that they sign by the Rx symbol (authorizing the prescription) and send it back to you.
