Monitoring
The monitoring feature allows you to follow-up with your patients after completing their appointment, through a schedule of emails, that contains a link for them to fill out the monitoring questionnaire. The monitoring questionnaire can trigger alerts based on the patient's answers (you will receive an email notification) which allows you to easily identify when intervention is required. This can be enabled for any service line, and the questions and email schedule are customizable to each. You can further tailor the schedule of emails to the patient based on need. 

How it works: 
1. Enable monitoring in the service line setup
2. Customize the monitoring questionnaire
3. Conduct the appt and tailor schedule per patient
4. Manage monitoring alerts

1. Enable monitoring in the service line setup:
> Go to the Setup menu > Service line setup > Click the service line you wish to enable for.
> Go to the Monitoring tab on the left side > Check on 'Enable Monitoring'. This will display the customizable schedule and the email copy that will be sent to the patient. 
Of Note:
- Monitoring does not apply to Follow-up Appointments, but the monitoring tab from the initial appointment will be displayed in the follow-up appointments. 

Configure the email schedule:
Keep in mind this will be customizable again in the patient's appointment.
- By default, the 1st monitoring email will be sent to the patient 4 days after their appointment. You can change this to suit the needs of the service line.
- Decide how often you would like to resend the monitoring questionnaire and select an option from the drop-down menu. By default, it will resend every week. 
- You can further decide when to stop sending the monitoring questionnaire, by # total emails sent or after so many days, whichever comes first. By default, it will send 10 emails or for 365 days. 

Customize the email copy as needed:
There are 2 email templates to go along with this. One for the 1st monitoring email, and the other for all successive monitoring emails. 
- Both emails will contain the name of the user who completed the patient's appointment for an added personal touch. 
- The 1st Monitoring Email may require a bit more explanation about the purpose of the monitoring.
- The Successive Monitoring emails will contain a link for the patient to opt out of any further monitoring.
> Click the Edit button to update the copy.
> Click the Preview button to preview the email. 

2. Customize the monitoring questionnaire:
> Go to the Setup menu > Questionnaires > Monitoring questionnaire.
> Filter on the service line you are here to configure by selecting it from the 'Filter by' menu on the left. If there are any existing questions you will see them here now.
- Hit the print button to preview the existing questionnaire (this will generate a PDF that you can either view on screen or print and review).
- To add questions, hit the Add Question button. The 'Rating' question type is particularly good for this questionnaire as it has the option for you to save the previous answers from the patient which allows you to monitor their progress more easily. (There are a number of different answer types which are explained here.)

3. Conduct the appt and tailor schedule per patient
- If monitoring is enabled for the service line there will be a monitoring tab in the appointments.
- The appointment status must first be changed to 'Completed' to activate monitoring. 
- Once completed you will have the option to edit the schedule for this patients appt by clicking the 'Edit Schedule' link. Edit as needed > Save.
- Below will let you know when the first/next email will be sent. 
- You will always have the option to Opt Out on behalf of the patient. This can be used if the patient calls and asks not to be sent any more monitoring emails. (The patient can always opt out themselves with the link in successive monitoring emails.)

4. Manage monitoring alerts
After the patient fills out their monitoring questionnaire, if any of their answers triggered an alert you can receive a 'Monitoring Alert' email notification and further go to the Monitoring alerts list to view all patient appointments that currently have a monitoring alert.

Recieve Monitoring Alert Notification:
- You will need to ensure your email address (or any number of email addresses) is configured to receive this alert.
> Go to the Setup menu > Email Templates. In section 5 near the bottom, you will see 'Monitoring Alert'.
> Click 'Edit' > Enter the emails to receive this notification into the 'TO:' field. 

Monitoring Alerts List:
There is a list of 'Monitoring Alerts' that can be found under the Appointments menu.
- You can filter on when the questionnaire was submitted, service line & patient name. 
- On the right, you will see the number of alerts flagged for each.
- Click on the appointment date (Link to Appointment) to go to the appt and view the questionnaire. 
- You can view all past dismissed alerts by checking on 'Include Dismissed'.

Managing Monitoring Alerts:
- Once you have found the appt that triggered the alerts, click on the Monitoring tab to view the questionnaire.
- The most recently submitted questionnaire will be displayed by default. 
- The alerts will have an ' ! ' icon beside them in the questionnaire recap. 
- You can now address the alerts and contact the patient if intervention is needed. 
- There is a 'Dismiss' button in the list of sent emails above the questionnaire recap. Click this button to dismiss the alerts.
- You can choose to add a monitoring note and flag the note as needed. (Click here to read more about Notes and Flagging)
