Setting up Public Booking Hours:
We try to make managing schedules for multiple service lines with multiple health care professional's as easy as possible. By assigning schedules to a health care professional's user schedule, the online booking system always knows exactly how many time slots should be available for each service line.
If you only have one consultation room, meaning you can only accept one appointment per time slot regardless, you can create a user for 'scheduling' and setup ALL public booking hours under this one user. This will prevent double booking.
(If public booking hours are setup for 1 user, the system will except 1 appt. If hours are setup for 2 users, the system knows that both can accept an appt and will accept 2 appts, etc.)
New Public Booking Hours:
This is done in the Setup menu > Public Booking Hours.
> To add new hours hit the 'ADD NEW HOURS' button.
> You will first be taken to the 'select user(s)' screen. Select the user(s) then hit the 'CONTINUE' button.
> Then the 'service line selection' screen. Select the service lines you wish to create the hours for and assign to the selected user(s) then hit the 'CONTINUE' button.
> You will then be taken to the 'define the parameters' screen. Fill out the fields according to desired schedule, then hit the 'SAVE' button.
TIPS:
- Create public booking hours for all users, service lines and/or days that share the same set of hours in separate efforts.
NOTE: Service lines must also be 'enabled' from the service line setup in order to appear online for booking.
This allows you to turn on/off public booking for a service line with one click, and allows you to start your setup including public booking hours before you are ready to turn it on.
Editing Public Booking Hours:
This is done in the Setup menu > Public Booking > Public Booking Hours.
- To find the hours you would like to edit you can use the date range & day of the week filter on the top of the page. (IE: If you want to edit all Saturdays, uncheck the other days of the week and hit search.)
- To edit in bulk, you can delete selected hours or adjust the start and end time for selected hours. Simply select the rows you wish the edit, and then hit the appropriate button.
- To edit an individual service line for a specific day, click the + sign on the left side of the row to open up the day and access the individual service line hours for edit.
TIPS:
- Sometimes it is easier to delete all hours and re-add them rather then editing them all one by one or page at a time.
- If you schedule a break it will block of the entire time slot that the break falls into.
- If you want to schedule a break that does not take up a full time slot, add the hours in two separate efforts. One effort for the morning, and another for the afternoon. (IE: If your travel appointments are 60 mins, but you only want to take a 30 min break between 12:30-1, add the first set of hours for 9-12:30 and save. Then add the 2nd set of hours from 1:00-5:00)
