Follow-up Appointments Required List:
This is a list of all required follow-up appointments that are not yet booked. This list will help you manage your follow-up appointments. This can happen automatically or manually depending on your preference. (It can simply act as a reminder to you and/or your team to call the patient later and book the next appointment. OR you can utilize the 'Follow-up Required Reminder' email and have that prompt the patient to book their follow-up appointment online.)
- Follow-ups can be required based on either A) Drug Follow-up Schedule or B) Service Line Follow-up Schedule.
- The Follow-up Appointments Required list is found under the Appointments menu > Follow-up Required.
Follow-up Appointments Required List View:
The list contains all details required to call the patient, speak to their previous appointment, and book their follow-up appointment.
- The Service Line, Drug Dispensed, Dosing Type, Dose Size & Sequence is first listed from the Previous Appointment.
~ You can link to the previous appointment by clicking the date link in that column.
- Then the Schedule is recapped, and the Drug Due, Dosing Type, Dose Size & Sequence along with patients name and phone number.
- The Due Date for the next appointment is specified, along with a 'Book next appt', 'Dismiss' and 'Send Email' button.
- When the 'Follow-up Appt Required' email goes out, a time stamp will appear beside the button.
- You can search on due date with the 'Date From, Date To' fields. Or by Patient Name or Drug Due in the search field.
How it works:
Book Next Appointment button:
You can easily book the next appointment by clicking the 'Book Next Appointment' button. It will take you to the calendar screen, to the appropriate month, so you can choose the appointment date/time. There will be a flashing bar at top of your screen to re-cap the follow-up requirements so you know exactly where you need to book the follow-up and why.
Dismiss button:
If for any reason the follow-up appointment is not going to be created, you can use the 'Dismiss' button to remove it from the list. NOTE: This will not affect the Follow-up Appt tab that also appears in the appt.
Send Email button:
The Follow-up Required Reminder Email is sent to the patient automatically according to the delivery schedule that you have configured. You can additionally trigger the email to go out manually by hitting the 'Send Email' button. A timestamp of the last time this email was sent is included beside the button.
A) Drug Schedule:
If follow-up appts are not being booked 'automatically'...
Follow-up Shots:
Once a patient has been injected with a multi-dose vaccination (the drug status is changed to dispensed) they will appear in this list.
Re-directed Follow-up Shots:
The re-directed follow-up shots will be added to list (all at once) once the first dose has been dispensed.
NOTE: Once the first dose in a sequence has been dispensed, it is assumed that all other redirected follow-up shots are not dependent on each other or the next dose in the sequence.
Boosters:
If the drug has a booster configured it will appear in the list 6 months before the due date. (Boosters are never booked automatically.)
B) Service Line Follow-up Schedule:
If follow-up appts are not being booked 'automatically'...
- Once an appointment for a service line, that is setup with a follow-up schedule, has passed, they will appear in this list. (The appointment is considered 'passed' as soon as it is marked as complete, or the day after the appt and it has not been canceled or labeled a no show.)
