Booking Follow-up Appointments 'Automatically'

Booking Follow-up Appointments 'Automatically'

Booking Follow-up Appointments 'Automatically':
You have the option to book all follow-up appointments in a schedule all at once. The system tries to come up with fool proof suggested appointment dates and times, that you can either accept or edit before confirming.

There is a preference to turn this feature ON/OFF: Click here to learn more about this preference.

How it works (if ON):

Follow-up Appointment Based on a Drug Follow-up Schedule:
 -
When you are adding drugs to an appointment, and have selected drugs that are configured with follow-up shots, when you hit the continue button you will be asked if you would like to book the follow-up appointments now. If you say yes, you will be presented with a list of suggested follow-up appointment dates and times.
-OR-
Follow-up Appointment Based on a Service Line Follow-up Schedule:
-
When you are booking an appointment internally for a service line that has a follow-up schedule configured, you will be presented with the suggested follow-up appointment date and times on the summary page before confirming the appointment.

Notes:

- You can edit the suggested dates and times as needed.
- You can pick and choose which follow-up appointments to confirm and which to 'book later' by using the checkbox beside each.
- Once you confirm the follow-up appointments, the patient will receive the follow-up appointment confirmation email, where they will have the option to reschedule.

Suggested Date & Time
It is important to have public booking hours setup properly with enough time open to accommodate follow-up appointments.
- The system will suggest an appointment date/time based on a number of factors:
            1. It
applies the time frame configured for that follow-up,
            2. It then reviews the public booking hours for the service line between the date and 2 months ahead, and finds the next closest time slot with availability.
- If public booking hours are not setup far enough ahead and the system can't find any available time slots with public booking hours within the 2 months, then the suggested follow-up appointment will fall outside of the public booking hours and it will appear in red with an alert message.
- If the system has to push a follow-up appointment ahead in search of public booking hours, all preceding suggested
appointment dates will appear in red with an alert message. This is because the suggested date is calculated based on the first appointment, not the previous appointment, so this could throw off follow-up appointments that come after.
