Appointment Confirmation and Reminder Emails
Reminder Emails & Appointment Confirmation:
'Appointment reminder' emails can be configured with a custom delivery schedule. The 'reminder email' will request the patient confirms their appointment details. Once the patient confirms their appointment a checkmark will appear with the appointment, and the appointment status can be updated automatically. There is also a 'day prior reminder email' that does not contain a link to confirm the appointment.
How it works:
Reminder Email Custom Schedule:
This is done in the Setup menu > Email Templates > Click 'Edit' beside the Appointment Reminder Email. On the right under the email template description, there is a 'Configure Custom Schedule' link. Click the link to configure:
- Specify when you want to send the reminder email to the patient: 1 week, 2 weeks or 3 weeks before their appointment.
- Specify how often you would like to resend it until they confirm: never, every day, every other day, or every week.
Checkmark and Dash:
- Once the reminder has gone out, a dash will appear with the appointment to let you know this appointment is waiting on confirmation and a reminder email has been sent.
- Once the patient confirms their appointment from the reminder email the dash will convert into a checkmark.
- If the patient contacts you some other way to confirm their appointment, you can click the dash and confirm on their behalf.
- Timestamp of confirmation will appear if you hover your mouse over the checkmark.
Automatic Appointment Status Updates:
There is a branch preference to specify whether or not the patient confirming from their reminder email should update the appointment status from unconfirmed to confirmed.

Appointment Reminder (Day Prior): A friendly reminder to the patient 1 day before their appointment. This will not contain a link to confirm. Cancel and reschedule options will be included if your branch preference is set to allow those actions the day before.
