Activity Report

Activity Report:
This report holds a wealth of information and can be used to track your sales & appointment activity. You can set the parameters and generate the report manually anytime, or set up an automatic delivery schedule to have the report delivered to your inbox on a reoccurring basis.  

Included in the report:
- Branch information (Main contact, users, service lines)
- Public booking hours within the date range. (Public booking hours totals are calculated based on the schedules that are enabled at the time this report is generated.)
- Total appointments, with a breakdown of:
   ~ Regular vs follow-up 
   ~ Booked internally or booked online
- Total drugs dispensed
   ~ with the option of a drug breakdown
- Total sales, and broken out by drug sales, appointment sales & miscellaneous sales
   ~ with the option of a payment method breakdown
- Optional additional break down by service line

How it works: 
- In order for value to be included in the report, the invoice on the billing tab must be generated and closed. This marks items as paid.
- To run this report, go to the Reports menu > Activity Report:

Set the Filter Parameters:
- Date Range: This will pick up values from appointments within this date range, as long as the invoice is generated and closed regardless of when it was.*
- Branch: If you are at the head office, you can choose to report on ALL or an individual branch.
- Province: If you are at the head office, you can choose to report on ALL or branches an individual province.
- Details: Check this on to include a
 drug dispensed and payment method breakdown. (This is the Detailed version.)
- Service Line Breakdown
: Check this on to include activity breakdown by service line. (If this is checked on you can additionally specify a category of service lines if needed)

To generate manually:
> Once the filter parameters are configured, hit the generate report button to 

To setup automatic delivery schedule:
> Hit the 'Create Scheduled Report' button (You will be taken to the Schedule Activity Report configuration screen.)
> Edit the details as desired.
   ~ Add Recipient email(s)
   ~ Enter an email subject (ie: Branch weekly/monthly/daily activity)
   ~ Set the parameters defined above
   ~ Instead of a date range, you can select an option from the Date Data to Include section and customize the number of days/months:       
      ` Select appointments in the 'LAST' to see appointments in the past
      ` Select appointments in the 'NEXT' to see future appointments. (This would be to report on upcoming appointments that are already booked, not sales data from the actual appointment)
   ~ Select the delivery interval (If you would like to receive the report every Day, Week (then you select the day of the week) or Month (then you select the day of the month)

Note:
- Public booking hours totals are calculated based on the schedules that are enabled at the time this report is generated.
- Sale $ values are only included once the invoice has been generated.
*- When entering the date range the report is looking to appointments within that date range, not when the payment was collected. For example, if you have an appointment for Sept with an open invoice of $50.00, and collect that payment in Oct (generate and close the invoice), that $50 will be added to the income for appts in Sept. So when you generate the report for Oct, that $50.00 will not be included.
